Use prospects as research records
A search result, saved company, AI report or exported record is a research lead. It can help you understand products, markets and commercial fit. It is not confirmation that a company wants to be contacted, that a person holds a particular role today, or that marketing permission has been obtained.
The platform marks its outreach permission as unverified. You may hold separate permission or relationship evidence in your own business records; check that evidence for the actual recipient, purpose and channel.
Verify the company and the source
Check important information against the linked source and, where appropriate, directly with the company. Review identity, the current role of a named contact, product claims and contact channels. Separate source-backed facts from AI inferences and unknowns. A fit score is a research signal rather than a credit, legal or sanctions decision.
Use third-party material only within the rights available for the intended purpose. A source link or an AI rewrite does not grant unrestricted reuse of copyrighted material or a protected database.
Understand collection limits
Our own website reader identifies itself as TradeScoutBot. Before reading business pages it checks robots.txt and supported text-and-data-mining reservation signals, and stops at detected access challenges. These controls can omit a source or prevent an automated report. If rules cannot be checked, try again later. A failed report releases its reserved AI analysis allowance.
A technical check does not assess every website term or grant a licence. Provider-operated web search is a separate source of evidence; it does not mean our reader independently checked every indexed page. Existing saved records are not retroactively certified by these checks. Manually enter only information you are entitled to use.
Separate enquiries from promotion
Identify what you intend to do: research a company, make a genuine purchasing enquiry, discuss an existing relationship, or promote your products or services. Check the rules for the actual purpose, recipient type, country and communication channel. A draft, a public address or the fact that the recipient is a business does not by itself establish permission for promotional contact.
For example, UK electronic-marketing rules distinguish corporate subscribers from sole traders. Italy generally requires prior consent for promotional email, subject to a specific existing-customer exception. Check the rules applicable to your activity rather than assuming that the seller’s incorporation country settles every recipient’s requirements.
Primary guidance: ICO business-to-business marketing and Italian Garante guidance on promotional email.
Protect named contacts and respect objections
A person’s name, professional email, profile or correspondence may be personal information. Identify an appropriate lawful basis, provide required privacy information and keep use proportionate to the stated purpose. A customer using workspace records for its own purposes is responsible for those decisions; Magma Productions Limited retains responsibility for the processing purposes it determines.
Honour objections and opt-outs. Keep the minimal suppression record needed to avoid contacting someone again, check it before future outreach, and review whether other stored information is still needed. Saving or restoring a prospect must not override an objection. This guide does not represent that the platform automatically maintains your marketing-permission or suppression register.
Keep human control over messages
The outreach tool prepares an editable draft. Review the recipient, claims, purpose, required privacy information and applicable contact rules before sending from your email service. Avoid sensitive personal information and unsupported claims. A prepared introduction or a plausible AI answer does not replace those checks.
